Designation :- HR OPS MANAGER
Job Summary:
The HR Operations Specialist plays a critical role in ensuring smooth and efficient HR administrative processes. This includes managing the employee lifecycle (onboarding to offboarding), maintaining employee records in Workday, coordinating benefits, and supporting HR policy compliance. This role will also lead initiatives in onboarding, conducting exit interviews, and ensuring accurate HRIS data management.
Key Responsibilities:
1. Onboarding and Induction:
- Coordinate the end-to-end onboarding process for new hires.
- Send welcome emails, assign onboarding tasks in Workday, and collect all required documentation.
- Liaise with IT, Admin, and relevant teams to ensure timely provisioning of workstations, email IDs, and access cards.
- Schedule and facilitate orientation sessions.
- Update and maintain onboarding checklist.
- Ensure new hire data is accurately entered and verified in Workday.
- Follow up on pending documents and compliance requirements (e.g., background checks, NDAs).
2. HRIS & Workday Administration:
- Maintain accurate employee records in Workday (e.g., job titles, departments, manager changes).
- Process transactions such as hires, terminations, promotions, transfers, and compensation changes in Workday.
- Generate and analyze HR reports from Workday as needed by management.
- Support employees and managers with Workday-related queries or issues.
- Liaise with Workday support or IT to troubleshoot system errors or updates.
3. Employee Lifecycle Management:
- Ensure all changes to employee records are updated in a timely and accurate manner.
- Support performance management processes through system workflows.
- Coordinate probation confirmation, role change, and other employment lifecycle events.
- Maintain organized HR documentation and ensure audit compliance.
4. Exit Management & Offboarding:
- Coordinate and schedule exit interviews with departing employees.
- Ensure all clearance procedures are followed (IT, Finance, Admin, etc.).
- Collect company assets and retrieve final documentation.
- Input offboarding information in Workday and archive employee files.
- Analyze exit interview feedback and identify trends for HR reporting.
5. Compliance and Documentation:
- Ensure HR practices adhere to local labor laws and internal policies.
- Maintain employee personnel files and documentation in a secure and organized manner.
- Assist with internal and external HR audits.
6. Reporting & Analytics:
- Prepare monthly, quarterly, and ad-hoc HR reports (e.g., headcount, attrition, onboarding metrics).
- Provide insights based on data trends, including feedback from onboarding and exits.
7. General HR Support:
- Support HR projects including policy updates, process improvements, and engagement activities.
- Respond to employee inquiries and resolve issues in a professional and timely manner.
- Assist in coordinating training and employee engagement programs.
Key Requirements:
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field.
- HR certifications (e.g., SHRM-CP, PHR) preferred.
Experience:
- 2-4 years of experience in HR operations or HR administration.
- Hands-on experience with HRIS tools, preferably Workday.
- Familiarity with onboarding and offboarding procedures.
Skills:
- Strong knowledge of HR processes and local employment laws.
- High attention to detail and accuracy.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to handle sensitive information with confidentiality.
